Every Review Answered Fast, Without Breaking US Rules
Pain
A one-star review sits unanswered for a week. A prospect reads it, sees the silence, and calls your competitor. That's how most US businesses lose customers to reviews: not the review, but the silence.
In BrightLocal's 2026 survey, 89% of consumers expected business owners to respond to reviews, and 42% said they were unlikely to use a business that ignores them. Yet most owners check reviews when they remember to, reply with copy-paste lines, or don't reply at all.
The US adds two traps that catch businesses every year:
- Healthcare replies that break HIPAA. The HHS Office for Civil Rights fined a Dallas dental practice USD 10,000 for disclosing a patient's protected health information in replies to Yelp reviews. A North Carolina dental practice was fined USD 50,000 by HHS OCR after its reply to a negative Google review included the patient's name, condition and treatment details.
- Yelp's rules. Yelp's guidelines tell business owners not to ask customers for reviews, unlike Google, which allows requests as long as all customers are treated equally. A review campaign that's fine on Google can backfire on Yelp.
Promise
Epicware's team is based in Singapore and manages reviews for US businesses online, with replies written to US platform and privacy rules.
Every review gets seen in real time and answered quickly, in your voice, within the rules of your platform and your industry. The result is a review profile that wins trust rather than losing it.
Google's content policy prohibits businesses from discouraging negative reviews or selectively soliciting positive ones — every request campaign we run for a US client follows that rule, full stop.
What's included
- Real-time monitoring: new Google reviews flagged the moment they post, across every location.
- AI-drafted replies: personal, specific responses in your brand voice, ready to approve or send.
- HIPAA-safe reply rules for healthcare: for dental, medical and wellness practices, replies never confirm someone is a patient or mention treatment, insurance or visit details.
- Yelp-safe practices: no direct review asks on Yelp, in line with Yelp's guidelines.
- Review analytics: rating trends, review volume, response time and sentiment by location.
- Escalation for fakes: reviews that break platform rules are routed to our Review Removal service.
HIPAA and reviews: what US healthcare practices need to know
When a patient posts a review, the practice still can't confirm they're a patient, or discuss their condition, treatment or bill in public. A safe reply thanks the reviewer and invites them to contact the office directly, and that's all. Our healthcare reply rules are built around that limit.
This is general information, not legal advice; check your own HIPAA obligations with your compliance advisor.

FAQ
Should we reply to every review, even the positive ones?
Yes. Consumers expect replies, and seeing a business engage with all its reviews, not just complaints, builds trust. Keep positive replies short and specific, never copy-paste.
We're a dental or medical practice. Can we reply to reviews at all?
Yes, carefully. Don't confirm the reviewer is a patient or mention any treatment, visit, insurance or billing detail, even if they shared it themselves. A thank-you plus an invitation to contact the office is the safe pattern.
Can we ask customers for Yelp reviews?
Yelp's guidelines tell businesses not to. Google allows review requests as long as you don't single out happy customers.
Can AI reply to reviews for us?
AI drafts the reply; you stay in control. Drafts are written to sound personal and reflect what the reviewer actually said. For sensitive or negative reviews, a human approves before anything is posted.
What about fake reviews?
Reviews that break platform rules can often be removed. Our Review Removal service handles those: USD 200 per review, paid upfront, with a full refund if the platform keeps it up.
